MOTO HOSPITALITY LIMITED DIGITAL DISCOUNT CARD SCHEME – PRIVACY NOTICE

  1. The Data Controller is Moto Hospitality Limited, Toddington Service Area, Junction 11/12, M1 Southbound, Toddington, Bedfordshire, LU5 6HR.

  2. The following personal data will be processed in order to issue, manage, and allow (i) colleagues (ii) partners, friends and family of colleagues; (iii) honorary and (iv) associate digital discount card scheme members to download and use a digital discount card in Moto outlets:

    • Colleagues: date of birth, colleague number and full name.
    • Colleague’s Partners/Friends & Family: full name and email address
    • Honorary Members: full name and email address
    • Associate Members: full name, email address and company name

    In addition, the personal data may be processed for such further purposes as are legally permissible and compatible with the above purposes (for example, to correspond with digital discount holders, where this is necessary in connection with Moto Digital Discount Card Scheme).

  3. Colleagues may only nominate partner, family and friends to join the scheme, and Associate Member organisations may only nominate their staff to join the scheme, where they have received the consent of such individuals to receive an email inviting them to join the scheme.

  4. Users will be able to hold the digital discount card in the digital wallet on their phone. The card will be compatible with IOS and Android devices and can be scanned in at Moto tills.

  5. Moto processes this information as it is in our legitimate interests, and those of our digital discount card holders, to do so. Where partners, friends and family, honorary members and associate members opt to join the scheme, then further processing of their data is also with their consent, which may be withdrawn.

  6. In relation to Moto colleagues, we will process this information for the duration of their employment. (Where employment ceases, the digital discount card will then automatically be expired and can no longer be used).

  7. In relation to colleagues’ partners, friends and family, and honorary and associate scheme members, who have received an invitation to join the digital discount card scheme, you will have 28 days in which to accept and obtain the digital discount card. If you do not accept, your details will be deleted from our system after 28 days. If you choose to accept a card, your details will be held on our system for the following duration:

    • Partners/Friends & Family: for the duration of the employment of the colleague who invited you, unless either you, or the colleague who invited you, notifies us earlier that they wish the use of the card to be withdrawn.
    • Honorary Members: indefinitely, until such time as you notify us that you wish the use of the card to be withdrawn.
    • Associate Members: until such time as Moto, the Associate Member organisation and/or the individual Associate Member requires the use of the card(s) to be withdrawn (whichever is earliest).

    In some cases your personal data may be retained for longer, such as where there is any legal or regulatory requirement to hold your information for longer or where there are any on- going circumstances or claims for which this information is required. In such cases your data will be held for such appropriate period as may apply in the circumstances.

  8. We will not generally share your details with any third parties, except for our data processors (see below). We may also share your data where we are legally required or permitted to do so (for example with external advisers or insurers) or where Moto, or substantially all of its assets, is acquired by a third party, in which case such personal data held by Moto will be one of the transferred assets.

  9. Your personal data will be stored by our data processor, Digital Ocean Inc within the UK and/or EEA.

  10. All digital discount card scheme members can ask us for access to the data we hold about them, or to rectify or erase their personal data or in some circumstances to restrict our processing of their data (e.g. if partners, friends and family, honorary and associate members wish their details to be remove from the digital discount card scheme at any time). Please contact Moto at dataprotection@moto-way.co.uk should you wish to exercise these rights.

Please note that our digital discount card terms and conditions also apply in relation to your use of our digital discount card scheme.

Moto may update this privacy policy at any time. The updated version will be available on this portal.
